Formatting and orthography rules

Warning

Never change the content! Only light editing can be done in the manner explained below (e.g. removing filler words, unclear or incorrect wording...).

  • Font type - Lato

  • Size - 12pt

Tip: Lato does not support Cyrillic and Arabic alphabets. For Cyrillic, we recommend Arial, and for Arabic, we recommend installing IBM Plex Sans Arabic font.

  • Left-aligned

  • If possible, use basic colour design of the document

  • Use pagination, if there are more than two pages of the text (e.g. Page 1 of 3)

  • Include the title at the top (also, indicate it's a transcript)

Example: Video/Audio transcript – Interview with XY

  • Include the video/audio duration

Example: Duration: 00:03:53

  • Provide full names of speakers and their roles – in the introductory part

  • When speaking for the first time, include full name(s). Afterwards, use only the first name(s)

  • Write down all video annotations and anything relevant happening in the video; use square brackets "[ ]"

Example: [On-screen annotation: Text…]

  • Divide the text into logical paragraphs

  • Emphasize questions, if any

Example: Question: Can you provide more details…?

  • Don't transcribe false starts, stutters, fillers like “err, umm” etc.

  • Correct repeated words/mistakes, but without changing the meaning

Example:

Original audio – Aya: It was quite, it was quite challenging to ride a horse for the first time.

Transcribed audio – Aya: It was quite challenging to ride a horse for the first time.

  • Use square brackets “[ ]” to help clarify a sentence, when the audio is unclear or words/phrases are used incorrectly, in order to avoid a misunderstanding

  • If you need to produce verbatim transcripts, it means that you note down all the words you hear, including filler words, stutter, conjunctions. Also, you should include sound/visual events (e.g. car sounds, dog barking, explosion, etc.)

Tip: For sound and visual events, use square brackets "[ ]" when describing them.

Example: [dog barks] Aya: If only I had come earlier, I wouldn't have missed a spot.
