How to prepare PDF files for translation

  • Do not use premade PDF files. If you do, make sure you have the source files. It can be a PowerPoint presentation, Word file or online tool.

  • If you create a PDF file, use the illustration without text so you can add the text. Use the image/illustration as a background.

  • Use predefined elements in your chosen tool as much as possible. For example, do not import rectangles as images into PowerPoint because you already have them in the tool. If you are unsure, ask a colleague that is more familiar with that tool. This will not only ease translation later, it will help reduce the file size.
